Accounting and Financial Data (Internal Software)
In addition to the information described above, 2iSolutions US operates internal software, 2i Accounting Agent OS, that processes our own accounting records. This section explains what that software handles. It applies to our internal operations and to the connected services it uses; it does not change how we handle information collected through this website.
What it processes
Consultant and contractor details needed to pay them (name, business contact details, contract and rate information, invoices and timesheets); client and purchase order details needed to bill them; and the resulting invoices, bills, payment records and reconciliation records.
Connected services
The software connects to QuickBooks Online (Intuit Inc.) for our accounting records, Microsoft 365 for our accounting mailbox and document storage, and Google Workspace for backup copies of accounting spreadsheets. Data is exchanged with these services only to carry out our own accounting. Each is governed by its own privacy terms.
QuickBooks Online specifically
The software connects to a single QuickBooks Online company owned by 2iSolutions US, using Intuit's OAuth 2.0 authorization and only the accounting permission it requires. It creates vendors, bills and invoices, and reads vendors, customers, bills, invoices and payments in order to avoid creating duplicates and to reconcile payments. It does not access QuickBooks companies belonging to anyone else, and the connection can be revoked at any time by a QuickBooks company administrator.
How it is protected
The software runs on computing equipment controlled by 2iSolutions US rather than on a public server. Its database accepts connections only from the machine it runs on, and requires authentication. Access is limited to named employees, each with an individual account and permissions limited to their role. Actions that move money require approval from two different people, and every change to a financial record is recorded with the identity of the person who made it.
Sharing
We do not sell this data and do not share it with third parties for their own purposes. It is shared only with the connected services above, as necessary to perform our accounting, and where we are required to disclose it by law.
Retention
Accounting and financial records are retained for as long as required by applicable tax, accounting and audit obligations, and are then deleted or anonymized.
Your rights
Consultants, contractors and clients may request access to the personal information we hold about them, or its correction or deletion, subject to the legal retention requirements described above. Contact us using the details in the "Contact Us" section of this policy.
